How did project management changed after COVID-19 Pandemic?

For some organizations, this recent pandemic of COVID-19 has posed serious challenges in project management. This is especially serious if the organization is forced to experiment with remote working without any beforehand arrangements. It may also look insurmountable if your company deals with bigger projects, portfolios, or programs that involve hundreds of people. This is not a hurdle if you correctly use the right project management tool and methodology. This on-going pandemic has welcome the reality check. As all the minute issues and problems that were tolerated in our daily work is now magnified. These can help us in identifying the factors and elements which can be done in a better way.

This crisis has allowed us to select ways for efficient project management strategy. If your team is globally spread but still you will face similar issues as you were facing before this COVID-19 for example in office the project managers cannot be the top leaders at all the time. That’s right that now you face more physical barriers but issues are the same and you have to find ways to manage the situation. There are three very important points for remote project management that include clear communication with collaboration, centralization of data, and monitoring in an effective way.

  • Clear communication

As now due to social distancing, there are no regular meetings, no colleagues meet up in offices. This provides us a chance to device new ways for communication like building virtual teams that stay in touch and feel connected. For meeting use video conferencing apps that creates a sense of team collaboration.

  • Centralization of data

One of the barriers that team members face in this situation is the missing of authentic data like teams working on excel sheets or collection of data for synchronization. In this lockdown, situation organizations have no option but to centralize the data and information through the project management tools. The managers must see through these tools the state of real-time work and track the progress of each project. Keeping things in a shared location is also a solution. Similarly keeping the management tool and tracking tool system updated is the responsibility of the organizations.

  • Monitoring

The monitoring of project status is also very important and must be seen closely. In crisis companies and organizations can’t bear extra resources and missed deadlines because of it. Your monitoring and centralization system must be synchronized to get real-time information and can take the necessary steps when needed. Build monitoring dashboards and define the KPIs, set the notifications for warnings of potential risk factors.

Getting these three factors right can help you in sailing your boat for a longer time in storm and also improve the project management system of your organization. This is a good time to think deeply and take the action to get the fruits of your hard work in pandemic situations from the results you will get in the months to come.

How is Agile Project Management Changing the industry?

Agile Project Management has been taking the world by storm in the past few years. Agile is so unique in allowing the workers of a company to work on specific things that the company wants, no time is wasted on documentation or contract negotiations. Although it was designed for software development teams, Agile can be used in almost any industry due to the versatility.

What Even Is Agile Project Management?

Like most project management solutions, it is simply a set of values and principles that the team believes in. As the name implies, agile is more focused on being agile and being flexible with the constantly changing world. One of the big ideas of agile management is breaking up each project into small “sprints” that are somewhat of a mini project themselves. Having smaller sprints in a project allows teams to focus on what is important to do now and allowing flexibility by not committing a large amount of time to a project that may not be desired by the time it finishes. The most important thing about this whole concept is the values that the must hold to be an effective, agile team.

What Are The Values of Agile Management?

Although these values can be adjusted for your specific use case, let’s look at what the original manifesto valued.

  • Agile teams value the individuals and the interactions experienced every day to be more important than processes and tools. This simply means that the individuals working on the project should be the guiding light compared to what the tools they have available say so. For instance, if you don’t have a leaf blower, you still can come up with a solution to clean up the leaves. You must allow your works to think about solutions to problems even if there isn’t a simple solution.
  •   Agile teams value working software over comprehensive documentation. As you can tell, this is where software development leaks in, however if you change the words around, it can be used anywhere. Agile teams should focus on completing the project rather than writing in a paper on how they plan on completing the project. The more time focused on going through with a solution will result in a faster and better solution.
  • Agile teams value customer collaboration over contract negotiation. This one is similar to the previous one where agile teams want to waste as little time as possible while providing the best product as possible. Teams following the agile management plan will want to work directly with their customers throughout the project without worrying about any contract negotiation. Usually the negotiation will be light at the beginning and won’t be mentioned throughout the project. We simply want to give the customer what they want, as fast as possible.

Finally, agile teams value responding to change over following a plan. Although a general plan is still important, responding to the ever-changing desires of the customer and the world is a lot more important. Agile teams will focus on the next few weeks rather than the next few years, since the next weeks are likely more important to the customer. If you would follow the overall plan, you may not be able to include parts the customer decides they want halfway through. So, focusing on change does allows for more flexibility.

Project management practices used by health care workers in America during COVID-19

Project is not just one sentence but it is a complete set of managed processes like for example when we say that there is a need to redesign the emergency rooms of a hospital or to improve patient care. All approaches of project management are standing on the four-stage foundation in any organization including hospitals in America and these stages are

To initiate: This step involves the definition of the scope of the project including its budget, risk, and results.

To plan: This involves the planning of each step of a project like setting deadlines, estimating the cost, and assigning roles.

To execute: Start working on the steps of the project as planned then monitoring the task on a regular basis.

To close: The Proper conclusion of the project by initiating the summary of the accomplishment of targets in the projects and lessons learned.

Project management in the health care system is quite different because there are some complexities and risk which are totally different. How these are different is because of the reasons like a high stake, the constant increase in cost, heavy regulations, constant change in the industry, risk of litigation, and diverse stakeholders.

Best Practices by Healthcare Project Management

It is a clear fact that to improve the wellbeing of patients in the health organization, project management is a very critical element. Following the best project management practices are implemented in healthcare settings across America.

  • Communicate with the organization

Communication is one of the most important factors that affect the management of any project that’s why it is important to device a system in which communication is open by getting the feedback on regular based from all departments across the organization, as this will encourage participation. This is the reason to make team members confident and valued by hearing them what they have to say about the potential problems.

  • Process streamlining:

Once the project management process is defined then it has to be implemented and executed. Make full use of the tool that makes the planning and tracking easy. Some health settings also use project management tools that help in the automation of many tasks.

  • The expectation of unexpected:

At the time of unexpected events re-plan the project parts and update it. Either it is some natural disaster, any new American federal regulation, or need of any upgrade in the design of hospital building.

  • Documentation for future use:

This practice is very essential to get information about similar things if they happen in the future. Document all the hurdles, solutions, lessons, and unexpected events like the do and don’ts in general. This provides guidance in the process of management and gives a chance to flourish.

  • Regulations and governance:

This is a practice that is used to develop the sense of any new or future requirement that might be demanded by the healthcare industry by changes that happen in regulations and governance.

The reason that health care workers in America are investing in project management practices is because of the high stakes in the health care industry in which patients’ lives are directly affected. With the use of the right management approach and tool, health workers can save the lives of patients and provide better well being and services. This also helps in improving the daily processes and outcomes of health care workers in the industry.
